Office Moves

University of La Verne Office Move Policy

Effective September 1, 2023, all employee office/workspace moves will require the review and approval of the employee’s supervisor, PEC member, as well as the Capital and Space Planning Executive Team. and must meet at least one of the following justifications criteria:

  • Relocation due to potential hazard or emergency repairs in the office space
  • Relocation due to ergonomic assessment recommendation or ADA accommodation
  • Relocation due to promotion
  • Relocation due to new position to be added to department
  • Relocation due to operational needs

Prior to scheduling a move, Facilities Management needs to obtain all appropriate approvals and confirmations and to schedule the move to take place.  Please be patient while we receive all the appropriate approvals.  After all of the approvals are received, Facilities Management will then contact you to schedule the move within two weeks, or as resources allow.

No employee is allowed to move offices without approval.

Hybrid Employees that work two (2) or fewer days on campus are not entitled to a designated office.

Before any approved move can be executed, the following must be completed by the employee:

  • All contents of the office must be put in boxes by the occupant of the office before Facilities Management arrives to move the items.
  • Anything that is fragile must be moved by the office occupant, or must be carefully wrapped, boxed, and noted as fragile on the box.  Facilities Management accepts no responsibility for any items that are not appropriately wrapped, boxed, and labeled for the move.
  • Facilities Management will not move any personal furniture out of or into any office on campus.  This will be the responsibility of the office occupant.
  • All campus standard office furniture (desk, credenza, file cabinets, bookcases, chairs), will remain in the office that is being vacated, as all offices are equipped with basic campus standard furniture that is appropriate for that space.
  • IT equipment such as desktop computers, monitors, printers, and scanners will be relocated by IT at the time of the move.
  • Monitor arms and sit and stand desks will need to be assessed for relocation prior to the move and may not be able to be relocated if they are permanently attached to office furniture.
